Complete Vehicle Verification

Every vehicle registered in India has a record in Vahan, the national registration database run by the Ministry of Road Transport and Highways. A registration number is enough to read that record.

What comes back is the vehicle: make, model and class, registering RTO and state, registration date, fuel type, insurance company and policy validity, PUC validity, fitness expiry for commercial vehicles, hypothecation status, and permit details.

What does not come back is the person. Owner personal details are masked, deliberately, and any service claiming to return a name, phone number or address from a plate is either misrepresenting what it does or should not be doing it. Treat that as a signal about the vendor.

This is the mistake that survives every audit, because it looks like diligence.

A verification tells you the truth on the day you ran it. Insurance expires. Fitness expires. PUC expires. A permit lapses. None of those events notify you, and none of them are visible from the cab.

The failure mode is never the whole fleet lapsing at once. It is two vehicles out of forty, discovered at a check-post, on a load that was already late.

What turns a check into a control is repetition on a schedule, with the result reaching someone before dispatch rather than after detention.

Hiring a vehicle means accepting liability for documents you have not seen, produced by someone with an incentive to move the load.

A photograph of an RC proves nothing. It is the easiest part of the chain to forge, and a doctored date survives a glance in a yard at night.

The check that matters takes seconds and happens before the load is released, not after the vehicle has left. Fitness expiry, insurance validity, permit type against the route, and whether the vehicle is what the paperwork claims.

One vehicle is a portal lookup. Two hundred is a different problem, and it is where manual process quietly stops happening.

An API submits registration numbers and returns structured results, which means verification can sit inside your onboarding or dispatch flow instead of beside it as a task someone is supposed to remember.

The three patterns that actually get used: a check at the point a vehicle is hired, a scheduled re-check across the fleet so expiries surface early, and an embedded check inside another product entirely — used-vehicle marketplaces, lending and insurance underwriting all run the same lookup.

The same masking applies. An API does not unlock personal data that the portal withholds.

Operators are often surprised that their own paperwork contradicts the portal. Both can be accurate.

Insurance renewed yesterday may not appear for several days, because the insurer's record has to propagate to Vahan. A vehicle recently re-registered in another state may be mid-migration. Older records digitised during transition are the most likely to be incomplete.

Which one wins is not a matter of fairness. Enforcement reads the portal. If the portal says expired, the vehicle is treated as expired regardless of the policy document in the cab, so the fix is to get the record corrected rather than to carry the paper and argue.

None of these mean the vehicle is fraudulent, and treating them that way costs you loads. They mean the lookup needs retrying differently.

• Format rejection: try the registration number without spaces or hyphens before assuming the record is missing.
• "Record not found": usually a format issue or an unmigrated state record, not a fake vehicle.
• Chassis mismatch: the last five digits must match exactly as printed.
• Service unavailable: the state server is down rather than your record being wrong. These portals are busiest at month end.

• Fitness certificate valid for the whole trip, not just today.
• Insurance in force, with the expiry beyond the return leg.
• PUC current.
• Permit type appropriate to the route, particularly across state lines.
• Hypothecation status, if the vehicle is being purchased rather than hired.
• Pending challans, which can surface at renewal and block the vehicle.
