The licence difference is the number in the proposal and rarely the number that decides anything. The costs that bite sit elsewhere and are easy to leave out of a comparison.

A switch that looks cheap on licence and expensive on these is common. Ask Fleetx and ask us for the same list, and compare the totals rather than the headline.

• Fitment and downtime, if devices have to change. A vehicle in a workshop earns nothing, and scheduling forty of them around live trips is the real constraint rather than the labour cost.
• Retraining. Dispatchers and branch staff who know one interface are slower on another for several weeks, and that slowdown is invisible in a proposal.
• Parallel running. Most fleets run both platforms for a period, which means paying twice for a month or two rather than switching cleanly overnight.

This single question changes the economics more than any feature comparison, and the answer is not always the one a vendor volunteers.

Some platforms only accept their own devices, so leaving means replacing every unit regardless of whether it works. Others ingest third-party hardware, in which case the devices stay and only the software layer changes.

Before signing anything, ask the specific version of the question rather than the general one: can I export the full history, in what format, how far back, and can I do it myself without raising a request.

"We can provide an export on request" is a different answer from "you can export it yourself at any time", and the difference only becomes apparent at the moment you need it and the relationship has already ended.

Lock-in is rarely a single clause. It is the combination of several that individually look reasonable.

• Contract length and whether it auto-renews, and the notice period for stopping it.
• Whether hardware is bought or leased. Leased devices usually have to be returned or bought out, which is a bill that arrives exactly when you are trying to leave.
• Minimum vehicle counts, and what happens when the fleet shrinks seasonally.
• Whether the SIM and data plan are tied to the platform or separable.
• What happens to data after termination, and for how long it remains retrievable.

• Run it on your worst route, not your representative one. Coverage gaps and rough roads are where platforms diverge.
• Count the alerts you disagree with. An alert nobody believes is an alert nobody acts on, and that number predicts whether the deployment survives past month three.
• Pull one specific record from three weeks ago, the way you would if a claim landed. Time how long it takes.
• Have a branch dispatcher use it unaided for a day and watch where they get stuck.
• Check what a driver actually experiences, not just the control-room view.

The pattern that works is to run both for a defined period on a subset of vehicles, ideally one branch or one corridor rather than a scattering across the fleet, so a fair comparison is possible.

Export the history before the old contract ends rather than after, and verify the export opens and contains what you expect before the account closes.
